This Notice describes how Toyota Tsusho collects, processes and stores your personal data during the application and recruitment process. This Notice applies only to job applicants of Toyota Tsusho in the European Economic Area (EEA), the United Kingdom and Turkey.

We collect personal data directly from you, as a job applicant, via e-mail, via the website, or may receive personal data from third parties, for example, from recruitment consultants and from publicly available online resources, or in connection with a background, employment, or reference check.

How do we process Personal Data we collect?

We process your personal data as a job applicant on the legal ground of your consent, where the processing is necessary to administer your application and recruitment process at your request, or where it is necessary for our legitimate interest (for example, for legal defence).

We only process your personal data for the purpose of considering your job application and recruitment process, which may include:

  • administering and managing your job application
  • conducting interviews or assessments (including personality tests, logical tests and others)
  • corresponding with you regarding your application or relevant job opportunities
  • verifying your background, references, education and right to work in the country where the position is located
  • retaining of your personal data in case you are interested in future employment opportunities
  • maintaining records for the establishment, exercised, or defence of legal claims.

With whom may we share your personal data?

We may share your personal data with the following categories:

  • with public authorities based on lawful obligation and/or request
  • with any member of our corporate group, which means our subsidiaries, our affiliates, our ultimate holding company, and its subsidiaries in case there is another vacancy offered by the affiliated company for which you may be suited
  • with service providers we use for assistance during our recruitment process (including, but not limited to: IT and Cloud service providers, legal advisors, assessment and testing service providers, employment background check service providers), even if those service providers operate in other countries that do not provide a level of personal data protection equivalent to the European standards.

Whenever we share your personal data with entities established or operating in countries outside EEA, UK or Turkey, we will implement appropriate legal safeguards, such as standard contractual clauses or other recognised transfer mechanisms. How long do we retain Personal Data?

We will retain your personal data collected during the job application for a maximum period of 1 year, unless a longer retention period is required by applicable law or you request earlier deletion. At the end of this period, or if you subsequently withdraw your consent, your data will be securely deleted or destroyed.

If your application is successful, certain personal data gathered during the recruitment process will be transferred to your employee file and retained in accordance with applicable laws and our employee privacy policies. In addition, certain categories of personal data may also be retained within our service providers’ systems for record-keeping, audit, or compliance purposes, in line with contractual obligations, and applicable data protection laws.

Your Rights in relation to your Personal Data

  • Right to rectify or correct your personal data
  • Right to request erasure of your personal data (“Right to be Forgotten”)
